Roof Claim Answers

What is the roof replacement claim process?

Short answer. The process runs from the claim report to the adjuster's inspection, the written estimate, the first payment, the replacement itself, and finally the release of withheld depreciation and any supplements. At each step you should receive or produce a document, and keeping that paper trail is what protects your payout.

Stage by stage, with the paper you should have

  1. Claim reported. You get a claim number and usually a written acknowledgment. Save it, along with the name of whoever you spoke with.
  2. Inspection scheduled. A call, text, or email with the adjuster's name and appointment time. Your roofer's inspection photos and report should already be in your file.
  3. Estimate issued. The adjuster's estimate shows line items, quantities, replacement cost, depreciation, and the deductible, often with a letter explaining the decision. See reading an Xactimate estimate.
  4. First payment. A check or deposit for actual cash value minus the deductible, plus a payment letter. If your lender is named, you will also handle its loss draft forms. See mortgage company checks.
  5. Contract signed. Your agreement with the roofer, including scope, price structure, and your right to cancel if the claim is denied. Keep a signed copy.
  6. Supplements submitted. Written requests with photos and measurements for missing items or hidden damage, and the insurer's written response. See roof supplements.
  7. Work completed. Completion photos, the final invoice, and any permit sign off.
  8. Depreciation released. A final payment letter showing the depreciation and supplements paid.
  9. Close out. Final payment to the roofer, a lien waiver or paid in full receipt, and your warranty documents.

Why the paper trail matters

Every dispute, reinspection, appraisal, or complaint relies on documents. A folder holding these items in order lets you show exactly what was approved, paid, and done.
